FMLA Leave Specialist

Position Summary: 

The FMLA Leave Specialist will oversee and administer client worksite employee leave requests and accommodations, particularly those arising under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), state and local leave laws, and short-term or long-term disability plans. In addition, they will support the Client Services team through administrative tasks and ensure effective communication between clients and employees.

Responsibilities, Projects, Programs, and Learning:

  • Communicates with clients and worksite employees regarding worksite employee’s needs for leave and/or modified work schedules. Ensures in a timely manner that clients and employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.
  • Handles FMLA leave administration from initial request to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.
  • Maintains reasonable communication with clients and worksite employees on leave to facilitate smooth and timely return to work, relays communication between employees and the client  during leave within reason.
  • Advises clients and worksite employees on the interaction of leave laws with paid time off, workers’ compensation, and short-term and long-term disability benefits.
  • Notifies client and worksite employee of the return-to-work process for employees returning from extended FMLA, workers’ compensation in conjunction with FMLA, or other leave(s). 
  • Facilitates other leave requests, which may include accommodation requests under the ADA.
  • Maintains complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices.
  • Preserves confidentiality of worksite employee medical documentation and files.
  • Maintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws.
  • Administer external employment verification process.
  • Assist with the administration of labor law posters to clients.
  • Run and provide compensation reports as requested.
  • Create and update contact lists per the Client Services team's direction for new or current clients.
  • Disseminate communications to clients as directed by the Client Services team.
  • Enter client termination cases and assist in ensuring closure in a timely fashion.
  • Assist in procuring EPLI Certificates of Insurance from clients .
  • Assist with client’s requests for COI’s by submitting cases to the respective team.    
  • Provide support to the Client Services team on salesforce case follow-up and closure.
  • Performs other related duties as assigned.

Qualifications:

  • Minimum of 2 years of experience in administration of leave requirements and other legal protections afforded by the FMLA, ADA, state and other applicable laws.
  • Experience in researching state websites for Human Resources (HR) laws; locating sample forms while considering the validity of the resource.  
  • Excellent written and verbal communication skills.
  • Excellent analytical and problem-solving skills.
  • Excellent organizational and time management skills and attention to detail.
  • Strong commitment to executing outstanding customer service.to internal and external clients.
  • Proficient in Microsoft Office Suite.
  • Ability to learn and execute new tasks.

Ideal Attributes:

  • Completion of specialized certification or training on FMLA/leave administration is a plus.
  • Demonstrated intellectual curiosity and a passion for learning across diverse topics.
  • Intermediate HR knowledge.
  • Bi-lingual English/Spanish is a plus but not a requirement.
  • Previous Salesforce.com experience is a plus but not a requirement

  • Base salary range of $55,000 - $60,000, commensurate with experience.
